5 Signs Your Deals Are Running on Memory, Not a System

But when I asked her to walk me through how a deal gets matched to the right lender, she described something that sounded a lot like a system. It wasn’t. It was her.

Here are five signs worth checking against your own process. If two or three sound familiar, that’s not a reflection on your work ethic. It means nothing was ever built to hold what you already know in a way that works without you.

Sign 1: You call the same handful of lenders on every deal.

Not because they’re the best fit for this opportunity. Because they’re the names that come to mind fastest under time pressure.

Meanwhile, dozens of other relationships sit untouched. Not bad fits. Just not remembered.

Sign 2: Your team hits a wall the moment you’re not available.

If anyone else needs to know who to call and the answer only lives in your head that’s not a team. That’s a bottleneck with a title.

Sign 3: A vacation or sick day slows a deal.

If a deal genuinely can’t move without you personally available, the business has a single point of failure.

Sign 4: You catch yourself saying “let me check my notes” more than once a month.

That phrase is a tell.

It means the information exists somewhere. Just not anywhere structured enough to pull up in real time. Notes scattered across email threads aren’t a system. They’re an archive nobody can actually search.

Sign 5: You can’t say, with confidence, which of your lender contacts are still active.

A contact list with fifty names means very little if you can’t say which of those fifty are actually lending right now.

A stale contact list looks like a network from the outside. It behaves like dead weight in practice.

Every one of these points back to the same root cause.

A memory doing a system’s job. Memory was never designed to do that at scale no matter how sharp the person behind it happens to be.
